Use this sample as a template, and change the relevant portions of it to fit your own skills, experience and interests. Customize it, and send it out a week or ten days after you send out every resume, to each company that you’ve applied to. Following up is a skill that many people fail to learn, and it can make all the difference in getting an interview. Experiment with it, put sentences and paragraphs into your own words, and make it read like you wrote it. Don’t get the impression that the letter must be used “as is” without changes. It is a sample, or a template if you will, and is designed to be a guide for you to follow, not the end result itself.
This sample letter can also be used when applying online through the various job bank services on the Internet. They all have a place for a resume and cover letter. A week or ten days after applying, it doesn’t hurt to apply again, using the sample as a guide in the space normally reserved for a cover letter for your second application.
In addition to the follow up letter, your personal marketing toolbox should include other essentials. These should include a well written resume, plenty of copies on good quality paper, a sample cover letter you can use for customization, copies of your reference sheet, a salary history, plain paper photo copies of letters of recommendation from previous employers, a sample thank you letter to use after the interview, and a job acceptance letter template you can use when you get hired. You’ll also need to practice your interviewing skills. So you can see that while the follow up letter is valuable, there are many other things you need to have when job hunting if you want to look like the professional that you are.

Instructions
  1. Step1
    Write your subject line. Use the job title followed by your name and the word ‘application’ to communicate the most critical information in the subject line (Editor Position—John Doe Application).
  2. Step2
    Consider using a header. Some people are including headers in emails, and some are not. There is no concrete rule guiding this decision. If present, headers should include: date, hiring manager’s name, hiring manager’s position, company name, and company address. You won’t always have the hiring manager’s name, so you will need to use as much information as you have.
  3. Step3
    Write a salutation. Begin your email with the word “Dear.” This is a standard business greeting. Always use the hiring manager’s last name if you have it and follow the greeting with a colon (:). The name should be preceded by Mr. or Ms. If you don’t have a name, use “Dear Hiring Manager:” or “Dear Hiring Professional:”
  4. Step4
    Write the body of the letter. Your email should be short and concise. The major communication points are: where you are in the application process, your continued interest in the position, how you are qualified, an appreciation of the hiring manager’s time, and how to get a hold of you. Spread this information through 3-4 short paragraphs. Use words found in the job description to communicate how you are qualified for the position. End the letter with “Sincerely” and type your full name. Click the image at the top of this article for an example follow-up email.
  5. Step5
    Include another copy of your resume. Attach your resume to the email and also include it below the text of your email. Hiring managers are incredibly busy and won’t want to fish through a pile of resumes to find yours. They may also not want to take the time to open an attachment, so it’s a good idea to include a copy of your resume within the email itself. A quick scan of your qualifications may be just what you need to get the interview.
  6. Step6
    Proofread and send. Read your follow-up email several times to make sure there are no typos. Check and double check the email address for the hiring manager. Triple check the spelling of any names used. Click send and relax.
